for easy browsing during an iVocalize session

Guidelines for Moderators

  1. Synchronize browsing

  2. Stop whiteboard annotation

  3. Explain options to participants

Note:  If you are the iVocalize moderator showing slides and using hot links from those slides, you should take these steps in this order:

1.  Synchronize browsing
[So that everyone else will automatically see in their browsers what you show in your browser.]

On the "Moderator" pull-down menu, click on "Synchronized Browsing" [or press the F3 key]

2.  Stop whiteboard annotation - "toggle annotations off"
[So that while you're showing slides and leading the audience to Web pages using the browser, no one else will be able to interrupt you by causing the whiteboard to display.]

Click on the "Whiteboard" tab to display the whiteboard instead of the browser.  Then, in the row of little icons near the top, click on the 7th icon from the left.  This icon toggles all of the whiteboard annotation options "off" or "on".  Your goal is to toggle annotations off.  When you succeed all the little icons will be "grayed out" and unavailable to anyone else until you return to this icon and toggle annotations back on.

3.  Explain how/why participants can follow or explore
Ask participants to consider their own learning styles and preferences and then decide either to follow you as you present slides and Web pages or to explore on their own.  When the moderator displays a slide or Webpage, each participant CAN click on hot links or do a variety of things - but only so long as that moderator does NOT change the display.  As soon as the moderator who has "Synchronize Browsing" on displays a new slide or Webpage, the iVocalize browser of every other participant will also display whatever that moderator has most recently selected.

NOTE:  Remember to toggle the whiteboard annotations back on when you want to use the whiteboard interactively with other participants.

Instructions for converting PowerPoint slides
for easy Web access during an iVocalize online session

1.  After you have prepared any PowerPoint slides that you will want to use during our iVocalize session, open that file on your own computer.

2.  Under the File menu, click on “Save as a Webpage”

  • On the next screen, click on the button “publish” 

3.  On the next screen click on the button “Web options”

4.  On the next screen make sure that “Add slide navigation controls” is checked, then click “OK”

5.  Near the bottom of the final [main] screen there is a section labeled “Publish a copy as.”  In this section:

  • Click “change” to alter the name that will be displayed for some purposes when this file is being used.  This is NOT the filename.  Then click “OK”

  • Click “browse” to determine where you will want the resulting Webpage saved on your computer and to insert the name of the file that want to use for the result. 

  • Then click “OK”

  • Click “Publish”

The result will be a file and a folder with the same name. 

6.  Upload both the resulting file and folder onto a website. 

7.  Point something (a button, a label, whatever) to the URL that is now assigned to that file.  
The result should be that when someone clicks on this button (or sends their browser to that URL) they get a Web version of your PowerPoint slides with any hotlinks still working, with a navigation bar for access to any/all slides at the left, and a control at the bottom for moving back and forth through the slides one at a time.

Please use this URL in your iVocalize session to show your slides from the iVocalize browser.

This method of displaying PowerPoint slides permits you the greatest freedom, flexibility, and control… and it has the extra benefit that if you put the PPT file in a nice place on the Web in or near our Workshop resources, then the participants can get to the slides on their own too.

Trying browsing around in this slideset from the iVocalize browser and notice how you can click on a hotlink (try slide #5) and go anywhere in the Web then use the “back” control within the iVocalize browser to return to your slides – to the slide that you departed from.  Notice that you can then resume going forward one at a time with your slides OR you can jump to any slide you like!
