PRESENTATION AND SMALL GROUP DISCUSSION SESSIONS
For the room(s) where Steve Gilbert and others will be
participating face-to-face (while linked via the Internet and/or telephone
to those who make guest presentations from a distance):
A. Computer with high-speed Internet connection

2nd Best Option: Your computer already connected
and ready to go!

3rd Best Option: Ability to connect Gilbert's laptop
computer easily and get same functionality [if necessary, guest account
or other accommodation to use Internet from this room]

Ideal Combination: BOTH OF THE ABOVE! See
Note 1 below.
B. Projector, screen, and speakers that will enable showing
pictures, hearing sounds from Web via computer connected to Internet so that
everyone in the room can comfortably see the screen and read text that isn’t
too small and hear voices of those participating via the Internet
C. Software that permits running Microsoft Office
Suite and the capability of running synchronous tools that require some Java
downloads, etc. NEED TO CHECK THIS IN ADVANCE (PREFERABLY AT LEAST 24
HOURS IN ADVANCE) TO BE SURE THAT LOCAL SECURITY
PRECAUTIONS CAN BE SET TO PERMIT SUCH NEEDED DOWNLOADS, ETC.
AND IF AND ONLY IF we will be including some
guest presenters from a distance:
D. Microphone that permits speaking into the Internet
via computer (preferably a wireless microphone so that it can easily be
passed from one person to another in the room); OR
E. Telephone speaker phone so that everyone in the
room can easily hear the guest presenter and be heard by that person [need
to be enabled to make long distance telephone call - or knowledge in advance
that we need to use a calling card for the charges, etc.]
[NOTE 1: Steve Gilbert usually brings his own laptop
for this purpose (and slightly prefers to use it); however, he and others
in the face-to-face room/space can use a computer provided by the host
institution (sometimes easier, more certain that connections will work if
the computer is one that is used routinely WITHIN the bldg/system where the
face-to-face session will occur).]
[NOTE 2: Nice to have option of moving easily into and
out of small discussion groups that can function without interfering with
each other. Nice to have flip charts and the ability to put sheets up on
walls visible to everyone; e.g. flip charts of large “Post-it Note” sheets.]

II.
COMPUTER LAB – WHERE PARTICIPANTS CAN WORK INDIVIDUALLY OR IN SMALL
GROUPS THAT EACH HAVE THEIR OWN COMPUTERS
A. Should be possible for a leader/presenter to
demonstrate use of a computer connected to the Internet so that everyone in
the room can easily see and hear whatever is happening (including any audio
encountered on the Internet). Should be able to demonstrate use of audio
synch tools from this same computer so that everyone can see and hear
comfortably.
B. In addition, so that participants can easily
observe a demo
and then try similar activities themselves, each of the individuals or small
groups should have access during this session to a computer with a decent
Internet connection; that computer needs to have
1. Web browser less than 3 years old
2. Basic audio software and speakers or headset that
permit listening to music or other sounds from that computer WITHOUT
INTERFERING WITH THE WORK OF NEARBY PARTICIPANTS
3. Basic audio software and microphone connected to
that computer that permit talking into the Internet
4. If we are using or demonstrating synchronous tools
with audio (and most often we will be doing so), then each individual
participant needs
a. Computer with software that permits running
Microsoft Office Suite and capability of running synchronous tools that
require some Java downloads, etc. NEED TO CHECK THIS IN ADVANCE TO BE SURE
THAT LOCAL SECURITY PRECAUTIONS CAN BE SET TO PERMIT SUCH NEEDED
DOWNLOADS, ETC.
b. Headset with microphone and speakers for
each ear and to be seated so that
no participant can easily hear the nearest other participant who is speaking EXCEPT via

III. FOR GUEST
PRESENTERS FROM A DISTANCE
Each of these individuals should have access during
this session to EITHER
A. Computer with a decent Internet connection; that
computer needs to have
1. Web browser less than 3 years old
2. Basic audio software and speakers or headset that
permit listening to music or other sounds from that computer
3. Basic audio software and microphone connected to
that computer that permit talking into the Internet; OR
B. Working telephone AND computer with decent Internet
connection that can be used simultaneously; OR
C. Working telephone only! [Minimum configuration]
NOTE: Most computers, esp. laptops, sold in the past
3 years have the sound capabilities described above, including built in
speakers and microphones. For even better quality, headsets available from
RadioShack for less than $20 each are quite adequate for these purposes so
long as they have an active earphone for each ear. TLT Group would be
pleased to assist in advance any PRESENTER who would be participating from a
